Party Planner's Guide to Perfect Party Invitations

The first thing that alerts guests that there is going to be a celebration is the invitation and you want it to create the right impression. The invitation to your event is the first glimpse into your celebration; it is therefore paramount that the invitations are attractive, professional and creative. Therefore, your invitations should match the event in both style and theme, so start with the party theme first.  Once you know the party them, it will be your guide to creating the invitation.

You can consider making the invitations yourself.  You might find it surprising to know that you can have your invitations printed at a very reasonable cost online.  Alternatively, if you have a good graphics program and printer, you can do them yourself.  It is perfectly acceptable to purchase a package of the hand-written invitations from your local store and simply write in the information on them if you are having a smaller event.  A good rule of thumb is if you will be having a very informal party, you can have some fun and create informal invitations.  If you are planning a much more formal party or event such as a wedding or corporate event, then you are best to stick to professionally printed invitations.

First, when planning any kind of party, it is advisable to try planning well in advance so that you can avoid the stress that comes with last minute rush. This will influence greatly your quality and creativity of invitations.  To maximize the number of your guests that can make it to your event, be sure that your party is not held over a holiday when many of your guests may already have other plans or will not want the hassle of holiday travel.

Your invitation is meant to inform your invited guests about your event, but they also give them a small glimpse into what is to come at your party.

Each invitation should have at least the following basic information contained on it:

• Name of the host or hosts
• Purpose of the event.
• Name of the guest of honor.
• Day, date and time of the event.
• Location of the event.
• Address of the event with the street address only, not the zip code.

In addition, adding this additional information is always a good suggestion to help you guests in deciding if they will make the party.

What is the dress code?  Do not leave your guests guessing, wondering what to wear to your party.  Some people may not attend simply because they do not know if they should get dressed up or not.  If it's formal or dressy, make that clear.  But if it's casual dress, spell that out, too.  In fact, if you let people know that they do not have to get too dressed up, they are more likely to show up, because they do not need to buy a new outfit.

Will there be food?  People usually make assumptions about what will be served based on the time the party starts.  It is even more helpful by including that information.  Will there be a sit down dinner, buffet, just desserts or only snacks?  Is it potluck and should guests bring a dish?  Should they eat before they go to the party?  Cheese and cracker parties are great, but if that is the plan, let them know.  You do not want your guests imagining a big dinner and leaving half way through the party because they are hungry.

Is it easy to find?  It is sometimes simple enough to just enclose a map.  Not everyone has a GPS so a map with written directions are helpful, even if its just printed directions off the internet.  When your guests are deciding whether or not they will attend your party, the map enables them to visualize their destination.  It can help makes them feel comfortable about taking the trip.

Party invitations need to have clear wording. This means that you should keep the points short and concise.  Here are some general tips that should be in the invitation: 

• All phrasing should always be in the third-person.
• Punctuation is never used at the ends of lines on an invitation, only on names and addresses which require them.
• Try not to use any abbreviations on your invitations.
• Spell out names, addresses, etc. fully.
• The one exception to this is the use of Mr. And Mrs.  Both of these abbreviations are appropriate for an invitation.
• Days, dates, and times should all be spelled out completely.
• If you have a husband and wife couple who you will be inviting who happen to both be doctors, you can simply address your invitation to "The Doctors "Last Name" and it will be correct.
• It is always socially unacceptable to write "no children" or refer to gifts (even when specifying "no gifts") on any invitations.

Once you have your invitations completed, get someone else to read over them for you and let you know if you have written anything incorrectly.  This is a very important step because the last thing you want to do is send out all your invitations with the wrong information on them.  It is so much easier to catch and fix mistakes before the invitations are sent out.

Spread the word about the party!  Party invitations can be sent through hand delivery, through email or even through traditional mail. The more technologically advanced methods for doing this, save you time, money and energy, however, you should always mail out your invitations.  This may not seem obvious, but if you want to make sure people receive the invitation and attend your party, go with traditional mail.  Today most people's email accounts are full of mail and an e-mailed invite can easily get deleted.  Spreading the invitation by word of mouth to potential party-goers is not an ideal situation either.  The party could slip their minds, and important event details could be changed as word of the party makes its way through the grapevine.  An invitation that arrives in the mail with a hand-written address gets noticed by everyone.  Just because it's hand-written people have to open it just to satisfy their curiosity!

Do not mail your invitations out too early, or people will forget the event.  However, you do want to give them enough time to plan to make your celebration.  A good practice is to send out your invitations four weeks before a small party, and eight weeks prior for a larger event such as a wedding.
